AI automation for dental offices
Help for independent dental offices that want insurance verification, claim follow-up and recall reminders off the front desk, set up with HIPAA in mind and a person approving anything that reaches a patient.
Most dental front desks lose hours every day to the same three jobs: checking insurance, chasing claims, and keeping recall on schedule. Plenty of software now promises to do this. My job is to figure out which of it fits your office, set it up around the practice software you already run, and make sure a person on your team stays in charge.
Where the time goes
- Insurance verification. Checking eligibility and full benefits before each visit, payer by payer.
- Claims and EOBs. Building claims, attaching what the payer wants, posting EOB payments and following up on denials.
- Recall and reminders. Hygiene recall, unscheduled treatment and appointment confirmations.
What I set up
- Verification that runs a few days before each appointment and flags only the exceptions for your team
- EOB reading and draft ledger entries that a person reviews before posting
- Claim follow-up lists sorted by age and amount
- Recall and treatment reminders that use your own wording
Patient data
Dental offices are HIPAA covered entities. Any tool that handles patient information needs a signed business associate agreement (BAA), and so do I if I touch it. I keep patient data inside tools you approve, don’t paste it into consumer chatbots, and start with jobs that don’t need patient data at all when that makes sense. Your compliance lead signs off on the setup. I don’t claim certifications.
Do you need a consultant, or just a product?
If one product does exactly what you need and works with your practice software, buy it. I’ll tell you that in the audit. I’m most useful when the job crosses payer portals, your PMS, email and spreadsheets, or when you want help picking between vendors without a sales pitch.
How it works
- Process audit. I sit with the people who do the work, map where the hours go, and rank the tasks worth automating. You get a short written plan. Small offices can start with the half-day starter instead.
- First build. I build one automation inside the tools you already use. It only touches what it needs, a person approves anything that matters, every action is logged, and there is an off switch.
- Training and care. Your team learns to run it in plain language. Care covers tuning and fixes after launch.
